Privacy policy
This notice explains personal information handled when you browse this marketing website or contact Vycko. It also explains the separate questions to ask before using the working platform or an external AI connection.
Who is responsible?
Newark Solutions Ltd trading as Vycko is responsible for personal information used to operate this website and respond to our own enquiries. Contact info@vycko.com or 01636 362361 for privacy questions or to exercise your rights.
Registered in England and Wales. Company number 12857571. Registered office: 14 Oldbridge Way, Bilsthorpe, Newark, Nottinghamshire, NG22 8UY, United Kingdom.
If your computer is managed by a separate support provider, that organisation determines its own support purposes and may be the controller for its customer information. Ask that provider for its privacy notice and the applicable service arrangements.
What information is involved?
- Enquiries: your name, email address, phone number, company details and anything you choose to include in an email or telephone enquiry.
- Website delivery: network information such as IP address, request time, requested page, browser information and security events may be processed by the hosting and network providers to serve and protect the website.
- Product previews: the dashboard, search and example workflows use illustrative data. They do not inspect your computer, upload device information or send your search text to an AI model.
The website has no account registration, checkout or file-upload form. Email and telephone links open your chosen communications service. Please do not include passwords, credentials, sensitive personal data or customer files in a general enquiry.
Why we use information and the lawful bases.
We use enquiry information to answer questions, arrange demonstrations, discuss a proposed service and maintain relevant business correspondence. Where you ask us to take steps towards a contract, the basis is taking those steps at your request. For general business enquiries, our basis is our legitimate interest in responding and communicating about our services.
Technical request and security information supports our legitimate interests in delivering a reliable website and preventing abuse. Where records must be kept to meet a legal requirement, we rely on that obligation. A website enquiry is not an automatic subscription to an email marketing list.
You do not have to make an enquiry. If you choose to do so, enough contact information is needed for us to reply. This marketing website does not make automated decisions about you with legal or similarly significant effects.
Who may receive information?
The website is hosted with OpenAI’s Sites service and delivered through Cloudflare infrastructure. These providers may process technical visitor information as part of hosting, content delivery and security. Our communications providers also handle information when you email or call us.
We share information where needed to respond to your request, operate the website, obtain professional advice or meet a legal obligation. The marketing website code contains no advertising pixels, third-party analytics tags or embedded AI chat.
Provider information is available in OpenAI’s privacy policy, the Sites data-processing information and Cloudflare’s privacy policy. Those documents describe the providers’ own processing and are separate from this notice.
How long information is kept.
Retention depends on the purpose and type of record. Enquiry correspondence is kept for as long as needed to deal with the request and any resulting relationship, resolve a dispute or meet applicable record-keeping obligations. Relevant factors include whether the enquiry is active, whether it becomes a contract and whether a legal requirement applies.
Hosting and security records are governed by the providers’ applicable service arrangements and retention controls. You can ask us for information about a particular record and request deletion where that right applies.
International processing.
Our hosting, network and communications providers may process information in more than one country. We do not describe this website as having UK-only processing. Where a transfer is subject to UK data protection requirements, the applicable arrangement must provide an appropriate transfer mechanism, such as adequacy or approved contractual safeguards.
Contact us if you need the relevant provider and transfer information before sending personal information through an enquiry or arranging a service.
Your rights and how to raise a concern.
Depending on the circumstances, you may ask to access or correct your personal information, request erasure or restriction, object to processing based on legitimate interests, and receive portable information where the relevant conditions apply. If processing relies on consent, you can withdraw that consent without affecting earlier lawful processing.
Send a request to info@vycko.com. Tell us enough to identify the information you mean. We may need proportionate identity checks before releasing personal information. We handle requests within the applicable statutory timeframe; some rights have legal exceptions.
You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. Contacting us first can help us investigate your concern, but does not remove your right to complain.
Working platform and connected AI assistants.
Using the working platform can involve device identifiers, hardware and software inventory, health readings, event logs, usernames, paths, incident notes and remote-support records. Requested remote actions or file access may expose additional information. The actual data depends on enabled features, permissions, customer settings and the support arrangement.
An engineer who connects an external assistant through MCP makes permitted tool responses available to that assistant. ChatGPT or Claude then handles that information under the chosen provider’s terms and account settings. Model-training, retention and international-transfer settings vary by provider and account; do not assume they are the same for every plan.
Before enrolling devices or connecting an assistant, confirm the controller and processor roles, relevant data-processing agreement, hosting locations, enabled AI providers, retention, deletion arrangements and any subprocessors with the service provider. This website notice covers website visitors and our enquiries; it is not a platform data-processing agreement or a promise about an unconfirmed customer deployment.
